Here you can read which personal data Ray processes, why, for how long and what rights you have.

1. Who are we?

Ray Care BV, Veldstraat 62, 9000 Ghent, Belgium, company number 0764.486.593, hello@rayskincare.com. We are responsible for the processing of your personal data. This policy applies to customers and visitors of our webshop and stores, subscribers to our newsletter and contact persons of our business customers, partners and suppliers.

2. What do we use your data for?

Orders and customer account

Your name, address, email address, phone number, and order and payment details, to deliver and invoice your order and to manage your account. This also includes orders via marketplaces and the details you give at the till, for example for a digital receipt.

Questions, complaints and advice

The data you provide to us by email, via our customer service, the skincare quiz or the assistant on our website, to help you and give you product advice. The assistant is an AI application, so you are not talking to a member of our team.

Newsletter and marketing

With your consent, we send you skincare tips, news and offers by email or text message. If you have bought something from us, we may also inform you by email about similar products without your consent. We combine your purchases, your responses to our messages and your use of our website into a customer profile, to tailor our messages and offers to your interests. That profile has no legal effects for you. You can always unsubscribe via the link in every message and object to the profile.

Online advertising and measurement

With your consent via the cookie banner, we measure what you do on our website and share those events with advertising platforms and social networks, via cookies and pixels in your browser and via a direct connection from our webshop. Your email address and phone number are passed on in encrypted (hashed) form. We may also use encrypted customer lists to show ads to our customers or to people with similar interests. We are jointly responsible with those platforms for collecting and passing on this data; they alone are responsible for what they then do with the data themselves.

In our stores

Security cameras protect our goods and the safety of customers and staff. The footage stays locally in the store and no sound is recorded. At the entrance, a sensor counts visitors and estimates their age group and gender, to analyse how our stores are performing. These images are processed immediately on the device and are not stored; we only receive totals, from which no one can be identified.

Business contacts, legal obligations and statistics

We process the contact details of business relations to manage our cooperation, keep what accounting and tax legislation requires, defend our rights in the event of misuse or disputes, and use anonymised data for statistics and product development.

3. Who do we share your data with?

With service providers working on our behalf (webshop and point-of-sale system, payment, logistics, marketing, analytics, customer service, AI applications, accounting, IT and the visitor counter), with advertising platforms if you have consented to this, with our advisers where necessary, and with authorities, police and courts when the law requires it. We do not sell your data.

Some service providers and platforms are located outside the European Economic Area, for example in the United States. Such transfers only take place with the safeguards required by law: an adequacy decision or the standard contractual clauses of the European Commission. 4. How long do we keep your data?

Customer account: for as long as it exists.
Order and invoice data: for as long as the law requires.
Newsletter: until you unsubscribe.
Marketing, customer profile, questions and business contacts: up to 5 years after your last purchase or contact, or until you object.
Advertising and measurement: according to the periods in our cookie settings.
Camera footage: one month at most, unless it is needed as evidence of an incident.

In the event of a dispute or a legal obligation, we keep data for as long as necessary.

5. What are your rights?

You can access your data, have it corrected or erased, have its processing restricted, request your data in order to transfer it, object to processing based on our legitimate interest (and always to direct marketing) and withdraw your consent. You can also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.

6. Cookies

We always place strictly necessary cookies. We only place analytics and advertising cookies and pixels with your consent via the cookie banner. You can change your choice at any time via the cookie settings on our website, where you will also find an overview of our cookies.
